Privacy Policy

CLEAN BEST GROUP PTY LTD(“Clean Best”, “we”, “us”) provides commercial, specialist and residential cleaning services in Alexandria and the surrounding City of Sydney area. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
This policy sets out what personal information we collect, why we collect it, who we may give it to, how we protect it, and what you can do if you want to see it, correct it, or complain about how we have handled it. It applies to this website at cleanbest-commercialcleaning-alexandria.com.au and to every enquiry, quote, cleaning job and invoice that follows from it.
The information we collect
We collect only what we reasonably need in order to quote for cleaning work, carry it out, invoice for it and support you afterwards. Depending on how you deal with us, that can include:
- Your name, the name of your business or property, your email address, your phone number, and the address of the premises you want cleaned.
- What you tell us about the site — floor area, what the surfaces actually are, access and alarm arrangements, key procedures, the frequency you want, and any sensitivity or requirement you ask us to work around.
- A record of our dealings with you: the quote, the written scope, the schedule, supervisor audit notes, any complaint and how we resolved it.
- Billing details such as your invoicing contact, your ABN and your payment history. We do not store full credit card numbers on our systems.
- For people who apply to work with us: identity and work-rights documents, National Police Check results, Working with Children Check details where the role requires one, qualifications, references, and payroll and superannuation information.
- Technical information collected automatically when you visit this website — browser and device type, the pages you looked at, the page that referred you, and an approximate location derived from your IP address.
We do not collect sensitive information, including health information, unless it is directly relevant to the work — for example an allergy or a chemical sensitivity you have asked us to accommodate — and then only with your consent.
How we collect it
Almost all of it comes directly from you: when you call 1300 494 983, email hello@cleanbestgroup.com.au, fill in the quote form on this website, meet a supervisor for a walkthrough of your Alexandria premises, or deal with your cleaner or supervisor during a job.
We may also collect information from your building manager, your strata committee or your managing agent where they are arranging the cleaning on your behalf, and from referees and screening providers when we are recruiting.
This website uses cookies and similar technologies for basic functionality and, where enabled, for analytics that tell us which pages people read and how they found us. You can block or delete cookies in your browser settings; the site will still work, though some functionality may be reduced.
Why we use it
- To answer your enquiry and prepare a quote.
- To arrange and carry out the cleaning, which includes rostering the named cleaner assigned to your site and giving them the access instructions they need in order to attend.
- To supervise and audit the work, to investigate any complaint, and to put right anything that has gone wrong.
- To invoice you and to keep proper financial records.
- To meet our legal, insurance, work health and safety, and employment obligations.
- To improve the service and, where we are permitted to, to send you information about it. Every marketing message carries an unsubscribe link and we act on it promptly.
Who we disclose it to
We do not sell personal information, and we do not rent, trade or share contact lists. We may disclose your information to:
- The cleaner and supervisor assigned to your site, so that they can access it and service it.
- Service providers who help us run the business — accounting, payroll, email, scheduling and website hosting — under obligations of confidentiality.
- Your building manager, strata committee, managing agent or landlord, where they are a party to the cleaning arrangement.
- Our insurers and professional advisers, where it is relevant.
- Government bodies, courts and regulators, where we are required or authorised by law to do so.
Some of our service providers may hold data on servers outside Australia. Where that happens we take reasonable steps to ensure the overseas recipient handles your personal information in a way consistent with the Australian Privacy Principles.
How we store and protect it
Personal information is held in our business systems and, where records exist on paper, at our premises at 54 Columbia Rd, Seven Hills NSW 2147. We take reasonable steps to protect it from misuse, interference, loss, and unauthorised access, modification or disclosure.
In practice that means access controls so that staff see only what their role requires; secure handling of site access details such as keys, fobs, alarm codes and entry procedures, which are among the most sensitive things a cleaning company holds; and confidentiality obligations on every cleaner and supervisor.
We keep personal information only for as long as we need it for the purposes set out above, or for as long as the law requires us to. When it is no longer needed we destroy it or de-identify it.
Accessing and correcting your information
You can ask us what personal information we hold about you and request a copy of it, and you can ask us to correct anything that is inaccurate, out of date, incomplete or misleading. We may need to verify your identity before we release anything. If we refuse a request — which is rare, and only where the law permits or requires it — we will tell you why in writing and explain how you can complain about that decision.
Data breaches
If we become aware of a data breach that is likely to result in serious harm to any individual whose personal information we hold, we will investigate it promptly, notify the people affected, and report it to the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.
Complaints
If you believe we have mishandled your personal information, tell us first. Email hello@cleanbestgroup.com.au or call 1300 494 983 with the details. We will acknowledge the complaint, investigate it, and give you a written response, usually within 30 days.
If you are not satisfied with our response, you can take the matter to the Office of the Australian Information Commissioner, which is the independent privacy regulator in Australia. Their contact details are published at oaic.gov.au.
Changes to this policy
We review this policy from time to time and may update it as our services, our systems or our legal obligations change. The current version is always the one published on this page, with the date it was last updated shown at the top.
